When to Book Transportation

When you have your wedding ceremony and reception at Valle Vista, your only transportation needs are to get to the venue and to your final destination for the night after your reception. While you’re at Valle Vista, we have a photography shuttle bus that takes the wedding party to the various photography spots around the property.  We also have the horse drawn carriage and Gatzby Golf Limos for the bride and groom arrivals to the ceremony. If you choose to incorporate these transportation options into your special day, they really add a splash of fun. We recommend booking your transportation services about four to six months prior to the date of your wedding. This will help to ensure you get exactly the option you desire (limo, party bus, etc.) even if your wedding is in peak wedding season.

Who to transport

Determining who to transport can be as simple as taking a head count for immediate family and VIPs. For many weddings, that means the bride and groom, their wedding party, both sets of parents, siblings not in the wedding party and grandparents. Some couples also provide shuttle transportation for close relative and out-of-town guests. It all depends on the couple’s budget and number of wedding guests. Also, know that you are not required to provide transportation for the entire wedding party for the entire night. Just make sure you have arrangements made so that no one gets stranded. If you are concerned about guests getting lost or enjoying themselves too much to drive home safely, a party bus can be a great option at the end of the night.

When to arrive

Working with your wedding venue coordinator can come in very handy. Determining your pick up times for your transportation services sometimes is helpful to have a 2nd opinion. Valle Vista’s wedding advisors will help you create a timeline for your wedding day details. This timeline can then be used to determine when you need outside wedding transportation services to pick up and drop off at the agreed upon locations. Years later, this will also be a great keepsake to have in an album.

How much it costs

Once you’ve established your wedding transportation needs, you can start inquiring about rates and availability. Be sure to ask if there are any current specials, price differences based on number of people being transported, and pickup and drop-off services vs. minimum hours required for rental services. Lastly, ensure you have a contract in place for the services you’ve requested.

You’ve got some great tips for planning your wedding transportation so now you can enjoy the rest of your wedding planning for your special day.

Congratulations on your engagement!
